Getting Started
How do I set up OSPOS?
Download the app, tap "Get Started," and build your menu. You can start taking cash orders immediately — no account needed.
Do I need an internet connection?
No. The Free Tier works completely offline. You only need internet to accept card payments, send receipts, or sync data.
How do I enable card payments?
Go to Settings, tap "Enable Card Payments," and follow the prompts to create a Stripe account. It takes about 5 minutes. Once connected, you can accept contactless payments with Tap to Pay on iPhone.
Can I try card payments without charging real cards?
Yes. Settings → Test Mode routes every transaction through Stripe's test environment — no real money moves, no real cards charged. Flip it off to go live. Great for staff training and dogfooding a new menu.
Is OSPOS on Android?
Android is launching now — Tap to Pay on Android is supported on compatible phones (Pixel 8+, Samsung Galaxy S22+, and other NFC-capable Android 12+ devices). Same 1% pricing, same features. Check the Play Store as it rolls out.
Building Your Menu
Is there a starter menu I can import?
Yes — we host free ready-to-import menus at ospos.app/menus. Twelve verticals so far (coffee shop, taco truck, ice cream, BBQ, farm stand, tow truck, mobile detailing, carpet & home cleaning, mobile bartending, art studio, nail salon, boutique) with modifier groups, categories, and tax flags already wired up. Download the JSON, open OSPOS → Settings → Advanced → Import menu, and pick the file.
How do modifier groups work?
Modifier groups let a single menu item ask follow-up questions when it's rung in — size, milk, protein, sauce, add-ons. Single-select or multi-select, required or optional, with per-option price deltas. The sample menus at ospos.app/menus are the fastest way to see the pattern in practice.
Can I export my menu to move it to another phone?
Yes. Settings → Advanced → Export menu produces a JSON file (same shape as the sample menus). Import it on the new device the same way.
Cart, Discounts & Sold-Out Items
Can I discount the whole order or one item?
Order-level: tap the discount pill above the total in the cart. Percent-off or dollar-off, optional reason. Tax updates proportionally — the taxable base drops with the discount. Item-level discounts land in a future release.
Something ran out. How do I hide it without deleting it?
In the Menu screen, swipe an item to reveal "86" — mark it sold out. It disappears from the order grid but stays in your menu for tomorrow. Swipe again to bring it back.
How do I edit a modifier choice after I ring it in?
Tap the "Customize" button on the cart line to reopen the customize sheet with your prior selections pre-filled. Adjust and Save — the line updates in place.
Payments & Fees
What does OSPOS cost?
The cash register is free forever. For card payments, we charge 1% per transaction on top of Stripe's standard rate (2.9% + $0.30). No monthly fees, no contracts.
When do I get paid?
Card payments are deposited directly to your bank account through Stripe, typically within 2 business days.
What is Tap to Pay on iPhone?
Tap to Pay lets you accept contactless cards and Apple Pay using just your iPhone (XS or newer) — no extra hardware needed. Your customer taps their card or phone on yours.
How do I refund a card sale?
Open the sale from the Summary tab, tap Refund. Choose full or partial amount and confirm with Face ID / Touch ID. The refund flows back to the original card via Stripe within a few business days. Cash refunds are recorded but you hand the cash back yourself.
A customer disputed a charge. What now?
Stripe emails you when a dispute opens. OSPOS has a built-in Disputes screen (Settings → Disputes) where you can respond and upload evidence directly. Respond quickly — Stripe has strict deadlines.
Receipts
How do I send a receipt?
After a sale, tap the Email button. The customer receives a formatted receipt from your business (delivered by Resend so it lands in their inbox, not spam).
Can I put my business name on receipts?
Yes. Settings → Business Name sets the header. Settings → Receipt Footer holds any address, phone, tax ID, or thank-you note you want to include.
Can I resend a receipt after the sale?
Yes. Summary tab → tap the sale → Email button is there for any past transaction.
Do you support SMS or printed receipts?
Not at launch. Email covers most needs, delivers instantly, and costs nothing. SMS receipts (pending nationwide Twilio A2P registration) and Bluetooth thermal printer support are both on the roadmap.
Your Data
Where is my data stored?
Free Tier data lives only on your phone. Paid Tier data is also synced to our servers (hosted in the US and Germany) to enable cloud features.
Can I export my data?
Yes. Go to Settings > Export Data to download a CSV of your transactions at any time.
How do I delete my account?
Scroll to the bottom of Settings and tap Delete Account. Server data is removed within 30 days. Local data is deleted when you remove the app.
Can I back up my sales history?
Settings → Back up now creates a full snapshot of your local data (menu, orders, settings). Paid Tier merchants also get automatic background sync to our servers — no manual step needed.
Where can I see my totals for the day?
The Summary tab shows today's cash / card split, tax collected, and every transaction. Tap any sale to see the itemized detail, print or resend the receipt, or issue a refund.
Troubleshooting
Tap to Pay isn't working
Make sure you're on iPhone XS or newer running the latest iOS. Go to Settings and re-enable Tap to Pay. If the issue persists, restart your phone and try again.
A payment was declined
This is usually the customer's bank declining the transaction. Ask them to try a different card or payment method. If the issue happens on every transaction, check your Stripe Dashboard for account alerts.
My sale isn't showing in the Summary
Pull down on the Summary tab to refresh. If a card sale is missing, the sync engine may be retrying — check Settings → Sync status. Cash sales are recorded locally and appear immediately.
Import failed with "invalid file"
The file must be a JSON export from OSPOS (or one of the samples at ospos.app/menus). Check that the file wasn't renamed to a .txt or corrupted mid-download. Try downloading it fresh.
